As the school is the data controller you have the facility within Schoolcomms to action a Right to Erasure Request.
For SIMS Schools
This can be actioned in the desktop version of Schoolcomms via Manage Exceptions, which will remove all data connected to that member.
To action this in Schoolcomms go to:
- Management
- Import Management
- Edit Settings
- Manage Exceptions (You may need to input your SIMS credentials)
- Under Look for input the pupils name and click Find
- Tick to Opt Out
- Then Save, this will then close that screen
- Click to Save on the import settings screen
- Then Run Import
- Once the import has completed the pupil will show in Schoolcomms Delete Leavers and can be deleted, click here for information to assist you with this.
For schools with Other MIS
This would be actioned via the web version of Schoolcomms, the Manage Exception facility is not available within the web version, however the data removal can still be actioned via an alternative method.
The pupil would need to be marked as a leaver in your MIS and an import then run in Schoolcomms.
They will then show in Schoolcomms Delete Leavers.
To Delete Leavers in Schoolcomms go to:
- Management
- Import Management
- Click on Delete Leavers and highlight the member/s you want to delete in the left-hand box and select Add
- Click OK to confirm the members for deletion.
Please note: When the delete leavers process is followed and you receive the success message, the leavers will be queued for deletion from our database, so you may continue to see members who are in the process of being deleted for a short period of time until they are removed (this timescale will depend on the number of leavers being deleted).
