Desktop

Even if the questionnaire is incomplete select the Question [1] that requires an Action and click the Add Action [2] button.

After clicking the Add Action button the Action Details window will open where you can fill in the Action tab [1] details.

NOTE If more than one Critical or Compulsory question was answered No, click the Question cell for the question you want to Raise and Action for then click the Add Action button.

The Package Name, Site details and Question [2] that were selected are automatically populated and are un-editable.

Set the Action Type [3] which will automatically populate the Due by date, Report to and Email to [4] fields, you can manually edit any of these fields if required. Set the Priority [5] of the Action, add any additional Notes [6] and upload any Supporting files [7] before clicking Save [8].

Creating/Editing Action Types

In the event you don’t have a suitable Action Type in the Action Details drop-down menu you can create a new Action Type to meet your needs or Edit an existing Action Type if the Point of contact has changed.

Go to System > Admin > open Types Navigation Tree [1] > select Action Types [2]

In the Action Types page either select an Existing Action Type [3] to edit or click the Add button [4] to create a new Action Type.

In the Add/Edit Action Type window give the Action Type a Name [5], Description [6], Days to finish [7] and assign a Questionnaire [8] that will need to be filled in as part of the Action.

NOTE You can only select questionnaires that are not in a package.

In the Report to fields update or fill in the Name [9] of the person who the report will go to as well as their Email address [10], Landline Number [11] and Mobile Number [12] then click Save [13].

Tablet

After the questionnaire is complete select the Question [1] that requires an Action and click the Actions [2] button.

In the Actions screen press the top right menu and press Add [3].

In the Action Details screen add any supporting notes to the Note field [4] then press the Camera button [5] to activate the camera and add a photo to the notes.

Set the Action Type [6] which will automatically set the Due by date and Report to [7] fields, you can manually edit any of these fields if required.

Set the Status [8] for the Action to Notify, set the Priority [9] of the Action and enter any Actions taken [10]. Close the on-screen keyboard by pressing the Close button [11] before you can press the Back button [12] to Save the Action.

Users view and edit existing Actions, press an Existing action [1] and press Edit [2].

Update any of the fields are required and press the Back button [3].


Adding a Photo

To add a Photo to a Note the Note field [1] must be filled in before the Camera can be used.

To activate the Camera, click the Camera icon [2] to start the camera. Before Taking the photo [3] you can change the camera from Portrait to Landscape [4], adjust the Brightness [5] and Zoom In or Out [6].

When the photo has been taken click Retry [7] to try again if the photo is not suitable or click OK [8] to save it to the Note.

When a Photo has been saved to the Note the Camera Icon will have a Green dot [9] against it.
