Account

NOTE: The Greyed out fields [1] are un-editable.

Admin Users can edit the Name field [2], Phone field [3] and Address details [4].

Site Info

Basic Info

Admin users will not be able to edit the Roll Numbers [1] details. The Roll numbers are set during the initial integration and the system will automatically update and calculate these numbers based on pupil data being passed through the integration.

The Target fields are for Admin users to manually edit as follows:

  • The Target meals/day [2] field for number of meals expected/estimated
  • The Target food cost/meal [3] field what the kitchen is expected to spend per meal per student
  • The Target staff cost/meal [4] field for the labor cost per meal.

Click Save [5] when done.

Meal Prices

Meal prices are defined in the Meal Prices tab, prices are defined by Year group [2] (e.g. Year 1, Year 2, etc) or by Student Type [1] (e.g. Nursery, Student, etc).

When entering the Meal prices the Student Year pricing has priority over Type pricing. If the Meal price by year is set to £0.00 the system will revert to the Student Type prices.

Click Save [3] when done.

NOTE: If the Meal price is undefined (null) it is considered as £0.00.

Debt Limits

If a student or member of staff's debt is greater than the site debt limit, they may not be able to select a meal and their name may not appear on the whiteboard for meal pre-selection (see Whiteboard settings below). This is because, if the meal cost is zero then their name will appear regardless of the debt. Also FSM/UIFSM students are more likely to appear regardless of the debt limits due to the FSM allowance.

Admin users can set the Debt limit for Nursery students [1], Students [2], Staff [3], Special Students [4], Employees [5] and Others [6].

Whiteboard

Admin users can select which features they use on the Whiteboard. The Whiteboard Theme [1] drop down menu has a selection of Themes available and will be applied to all users.

In the Pre-selection [2] options click the Use Menus [3] checkbox to reveal the Enable Student pre-selection [4] option. 

NOTE: Student meal pre-selection via the Whiteboard will not be available unless the Use Menus  checkbox is checked.

Click the Enable Pre-student pre-selection check box to make the following options available:

  • Enable for following day - Students can pre-select their meals for the following day.
  • Show student photo - If available, student photos will be displayed with their name on the Whiteboard (refer to, Students - How to Guide: Adding & amending student data)
  • Enable break pre-selection - students will be given with the option to pre-select their break
  • Enable breakfast pre-selection - students will be given with the option to pre-select their breakfast
  • Hide names on whiteboard based on debt limits - Hiding students on the whiteboard when they go into debt
    • Only on credit - only show students who are in credit

NOTE: The option to hide FSM/UIFSM student names on the Whiteboard based on debt limits has been updated so students are still able to choose menu items which do not breach their debt limit e.g. free packed lunch.

Meal Pre-selection

Meal pre-order Deadlines can be set for up to 20 days in advance. If the Pre-order lead days [1] are set to any value greater than 0, the Parent Pre-order cut off time [2] default value is 10:00 if the value field is left empty, this can be set to any value (e.g. 20:00).

NOTE: The configuration options ‘Parent pre-order lead days’ and ‘Whiteboard pre-order lead days’ do not affect the ability to pre-order meals in the Manager App ‘Pre-orders’ page.

If the Pre-order lead day is 0, the Parent Pre-order cut off time will be the Default latest time of 08:00, or earlier if a time is entered.

The Enable parent pre-selection [1] option makes it possible for parents to do meal pre-selections online. The Pre-selection Number of weeks [2] drop down menus can be set up to 20 weeks.

The Parent pre-selection can be changed via the Whiteboard [3] and Tablet [4] so Students can override their parent’s pre-selected meal choices when using the whiteboard or tablet for their morning meal selection.

When you have enabled the Whiteboard functions you wish to use click Save [4].

NOTE: All new sites added to databases other than SS1, have the 'Parent selection can be removed in Whiteboard' default set to OFF.

Users

School Administrators can set up and manage user accounts (School Admin, Tablet and Whiteboard) to provide users at the school with their own login.

Creating School Admin Accounts

Go to Settings > Users > School Admin [1] tab > enter the user’s Full Name [2] > enter the user’s Logon Name [3] (this is their email address) > enter a Password [4] (passwords must contain 6 to 10 characters, 1 uppercase, 1 lowercase and 1 number) > set the user account Status [5] (Open or Closed)

NOTE: You are restricted to create a maximum of up to 8 Open user accounts.

IMPORTANT: When you have entered the User account details press Enter then click Save [6].

Creating Kitchen User (Tablet) Accounts

Go to Settings > Users > Kitchen User [1] tab > enter the user’s Full Name [2] > The Logon Name [3] is automatically generated when the account is created > enter a Password [4] (passwords must contain 6 to 10 characters, 1 uppercase, 1 lowercase and 1 number) > set the user account Status [5] (Open or Closed)

NOTE: You are restricted to create a maximum of up to 8 Open user accounts.
