Introduction

To create an allergy-safe menu template for students with allergies follow the details below to ensure all the health and safety requirements are met when creating an allergen safe menu template.

Creating Menu Items

Go to Menus > Items > select a Menu Item Type > click Add

Make sure the following tabs are filled in:

Details tab

When filling in the details for a new Menu Item make use of the Name field [1] to include words like Gluten-free, Vegan, Dairy-free, etc.

Nutrition tab

The Nutrition tab contains the nutritional facts for a single serving/portion of the menu item. This information will typically be available on the item packaging or container. Fill in the Value column [1] for each item and click Save [10].

NOTE You will not be able to change the Units [2] values.

  1. Energy is a kcal (kilocalorie), this is a measure of energy produced in the foods you eat. If you eat a diet that contains about 2,000 calories a day, you're really eating 2,000 kilocalories.
  2. NME Sugars (Non-Milk Extrinsic Sugars) are extrinsic sugars (e.g. the lactose (milk sugar) in dairy products).
  3. NSP (Non‐Starch Polysaccharides) is dietary fibre and can be measured more precisely than total dietary fibre.
  4. Folate is also known as folic acid, folacin, and vitamin B
  5. Sodium is a combination of sodium and chloride, this used in food to preserve it, enhance the colour or give it a firmer texture.
  6. Total Sugar is the amount of naturally occurring sugars (e.g. fructose) and added sugars (e.g. glucose).
  7. Salt is the naturally occurring salt in foods such as celery, beets and milk.
  8. Added Sugar includes simple sugars, such as dextrose or glucose, sugars from syrups and honey, or sugars from concentrated fruit and vegetable juices.

Allergens tab

The Allergens tab contains a checklist of the 14 most common dietary allergens and an option for No Allergens [1] if a menu item does not have any known allergens. If an Allergen is selected in the Allergen checklist the menu item will be unavailable for any students who are allergic to the allergen.

Important:  This checklist should be completed and, if required, use the Notes [2] column to record any specific details for an allergen. 

Click Save [3] to record the allergen information for a food item.

Diet type tab

If the student has a specific Diet Type (i.e. Halal), click the Student [1] in the Students table, in the Edit Student window click the Diet Type tab [2] and click the Halal check box [3] option before clicking click Save [4].

Setting a Student’s Diet Type will restrict showing Menu Items that have not been marked as safe for the Diet Type in all Meal Selection channels (Manager App, Whiteboard, Parent Bookings and Tablet).

Vegan Diet Type

If a Student is marked as Vegan, they can select menu items marked as 'Suitable for Vegan'. Menu items 'Suitable for Vegetarian / Halal / Pescatarian' can be selected when 'Suitable for Vegetarian' is also marked.

Vegetarian Diet Type

If a Student is marked as Vegetarian, they can select menu items marked as 'Suitable for Vegetarian / Vegan'. Menu items 'Suitable for Halal / Pescatarian' can be selected when 'Suitable for Vegetarian' is also marked.

Pescatarian Diet Type

If a Student is marked as Pescatarian, they can select menu items marked as 'Suitable for Pescatarian / Vegan / Vegetarian'. Menu items 'Suitable for Halal' can be selected when 'Suitable for Pescatarian' is also marked.

Halal Diet Type

If a Student is marked as Halal, they can select menu items marked as 'Suitable for Halal / Vegetarian / Vegan / Pescatarian'. Menu items marked as 'Contains Beef' can be selected when 'Suitable for Halal' is also marked.

No Beef Diet Type

If a Student is marked as 'No Beef' they cannot select menu items marked as 'Contains Beef'.

No Pork Diet Type

If a Student is marked as 'No Pork' they cannot select menu items marked as 'Contains Pork'.


Legacy Conflicting Diet Types

When an existing client is moved to the new Diet Type logic a script will be run to identify and edit any conflicting Diet Types. The script will be forced to remove the least impactful Diet Type i.e. if a Menu Item is set to Suitable for Halal and Contains Pork then Halal will be removed to minimise the risk of a Menu Item that contains Pork being made available to a Muslim student

Conflicting Legacy Diet Types:

  • Suitable for Halal + Contains Pork
  • Suitable for Vegetarian + Contains Pork and, or Contains Beef

Creating a New Menu

Go to Menus > left mouse click a Menu type > click Add Menu [1]

In the Add Menu pop-up [2] enter a Description [3] (e.g. Gluten Free Menu #1), set the Category [4] and Availability checkboxes [5] as required, click Save [6].

When you have created a Menu using the Menu Items [1] click Save [2].

Click the Report [3] button to generate a Report.pdf document which will be automatically  downloaded; this will include a breakdown of the Menu Items Allergens [4].

Creating Menu Templates

In the Templates sub-menu, left mouse click on the Templates[1] or Student Templates [2] sub-menu item and click the Add Template[3] option.

  • The Templates sub-menu is used to create templates to be assigned to Sites
  • The Student Templates sub-menu is used to create templates to be assigned to a student

In the Menu Templates pop-up window, enter a Description [4] and press Save [5].

Menus are available for selection in the Templates menu [1], these menus can be added to the Weekly Menu calendar [2].

After assigning menus to the template calendar click Save [3].

Desktop Payments

Applying a menu template to a Student

In the Students page > select an Area/Site [1] > select a Student [2]

In the Edit Student window go to the Student tab [1] make sure the Type [2] drop-down is set to Student Menu. Select a menu template from the Menu Template [3] drop-down to assign the relevant allergy safe menu template e.g. Gluten Free Menu #1 template and click Save [4].

NOTE Menu templates for students with Dietary Requirements and Allergies remain active if a Theme day menu is applied to a site/area, making it possible for these students to keep their Special Menu items.

Desktop

When a Student Menu template is assigned to the Student details it will override any Theme day menus applied globally by the admin user.

Tablet

The Student Menu Template items remain visible to the student/parent when making selections in Tablet > Meal Register.

Whiteboard

The Student Menu Template items remain visible to the student/parent when making selections on the whiteboard.

Online bookings

The Student Menu Template items remain visible to the student/parent when making selections in the ParentPay parent bookings page and the School Comms parent bookings page.
