How to complete a transfer.
Examples of when you may wish to use this facility:
- A parent makes a payment for the wrong payment item for their child
- A parent overpays for a payment item
- A child leaves the school with credit on their account and the parent wants it moving to
a sibling account in school
There are two parts to the transfer process:
Debit the pupil/payment item you want to move money from.
- Go to Finance > Record adjustments
- Choose the Payment item that you wish to move the funds from
- Select Debit as the method
- Select Pupil as Group 1
- Select All pupils or the specific year/class group as Group 2
- Select Search
- Against the appropriate Payer account, enter the Amount being transferred
- Enter a note in the Internal Comments and/or Notes to payer box to provide a reason for the transfer for your audit trail.
- Select Debit
Credit the pupil/payment item you want to move money to.
- Go to Finance > Record adjustments
- Choose the Payment item that you wish to move the funds to
- Select Credit as the method
- Select Pupil as Group 1
- Select All pupils or the specific year/class group as Group 2
- Select Search
- Against the appropriate Payer account, enter the Amount being transferred
- Enter a note in the Internal Comments and/or Notes to payer box to provide a reason for the transfer for your audit trail.
- Select Credit
