How to transfer funds

The transfer option allows you to move money from one account to another, or from one payment item to another (providing that are both attached to the same bank account).

How to complete a transfer.

Examples of when you may wish to use this facility:

  • A parent makes a payment for the wrong payment item for their child
  • A parent overpays for a payment item
  • A child leaves the school with credit on their account and the parent wants it moving to
    a sibling account in school

There are two parts to the transfer process:

Debit the pupil/payment item you want to move money from.
  1. Go to Finance > Record adjustments
  2. Choose the Payment item that you wish to move the funds from
  3. Select Debit as the method
  4. Select Pupil as Group 1
  5. Select All pupils or the specific year/class group as Group 2
  6. Select Search
  7. Against the appropriate Payer account, enter the Amount being transferred
  8. Enter a note in the Internal Comments and/or Notes to payer box to provide a reason for the transfer for your audit trail.
  9. Select Debit
Credit the pupil/payment item you want to move money to.
  1. Go to Finance > Record adjustments

  2. Choose the Payment item that you wish to move the funds to
  3. Select Credit as the method
  4. Select Pupil as Group 1
  5. Select All pupils or the specific year/class group as Group 2
  6. Select Search
  7. Against the appropriate Payer account, enter the Amount being transferred
  8. Enter a note in the Internal Comments and/or Notes to payer box to provide a reason for the transfer for your audit trail.
  9. Select Credit
