Once a payment item has been set up you may need to edit the payment type.
For example, you have a cinema event happening and can only take 30 pupils. You want to allow 60 pupils the chance to attend the event and are asking for a £5 deposit.
You can create the payment item as a Once only, limited availability initially at £5 per pupil.
How to create a once only, limited availability payment item
You would set the limited availability to 30 so that once the limit is reached no more can be purchased.
You can then change the payment item type to reducing balance at a cost of £30 as below so that parents can pay the remaining balance.
IMPORTANT
You will need to remove any pupils who have not paid already, this is because when removing the limited availability on the payment item the limit no longer applies so all assigned pupils will see the payment item and be able to make payment
To amend the payment item -
Go to Payment items > View or edit an existing menu
Select your Payment item > Edit Payment Item
You will need to remove the tick and amount from the Limited availability section as below -
Scroll to the bottom and select Save changes
Select to Edit the payment item again
Remove the tick and quantity from the Quantity section as below
Scroll to the Costs section and tick the Tick this box to allow parents/carers to pay any amount between the minimum and maximum specified below
Also amend the Default, Minimum and Maximum amounts to the total cost of the item
Scroll to the bottom and select to Save changes
Select to Edit the payment item again
Scroll to the cost section and tick the box Tick this box to allow parents/carers to pay in instalments
Scroll to the bottom and Save changes
When you view the summary page of the trip the payment type should now show as Reducing Balance
