To successfully import contact details, message contacts within Schoolcomms and for parents to access School Gateway, you will need the following data in Arbor (Wonde imports data from Arbor on an hourly basis so users will need to wait an hour after amending any details in Arbor before running an import to ensure the latest data is imported):
- Schoolcomms will import from the “Mobile Phone” and “Email Address” fields.
- “Emergency contact” drop-down = priority.
- “Legal guardian” = parental responsibility.
Editing parents' contact details
- Open the student’s Arbor record (either by searching in the top-right or navigating to Students > All students > Browse students)
- Any current contacts show under the Family, Guardians and Contacts heading (see below screenshot).
- Click on the required contact - their record will open on the right-hand side.
To amend the priority number (emergency contact) and parental responsibility (legal guardian) fields, click Edit and amend as required.
To amend any contact details, instead click on the parent’s name - this will open their ‘full’ record:
The relevant contact details can then be edited by clicking on the respective field:
- When editing a parent's contact details, schools can add multiple mobile numbers - Schoolcomms will import the last one in the list if this is the case.
- Email addresses can have 3 types - Work, Personal and Other - Schoolcomms imports any of these.
- If there are multiple email addresses, Schoolcomms will import whichever is marked as Default.
For students
- Arbor allows students to have multiple mobile numbers - in which case, Schoolcomms will import the last one in the list.
- There are 3 types of Email addresses - Work, Personal and Other - Schoolcomms imports any of these.
- If there are multiple email addresses, Schoolcomms will import whichever is marked as Default.
For Staff
Staff members will need to have an employment start date to import across to Schoolcomms:
- Open the staff member’s record (either by searching for their name in the top-right, or via School > All Staff > Browse Staff).
- Click into the Contracts tab on the left-hand side.
- Under the Staff Contract heading, click on the Contract period to edit their employment start date.
- Save changes.

Staff roles
- If the staff Business Role in Arbor contains the word “Teacher”, the member will be placed into the MIS: Staff - Teacher (Schoolcomms created) group.
- Any other roles will place the staff member into the MIS: Staff - Support Staff (Schoolcomms created) group.
Your import settings determine the contacts and data that are imported from your MIS database.
To review your Schoolcomms Import Settings go to Dashboard > Import Management > Edit settings.
