Payment Type Usage & Examples Which fields can I edit after payment has been made?
Dinner money flex:
can be paid more than once


Dinner money fixed:
Only needs to be paid once

Only available to customers with SIMS Dinner Money – please ensure you select one of these payment types to ensure your SIMS balances update based on payments made.

Balances are visible in SIMS and School Gateway (not Schoolcomms)

Catering flex:
can be paid more than once


Catering fixed:
can be paid more than once


Catering fixed:
only needs to be paid once

Only available to customers using a cashless retailer or Meal Manager – please ensure you select one of these payment types to ensure your cashless retailer/Cypad balances update based on payments made.

Balances are visible on the Caterers platform and School Gateway (not Schoolcomms)

Schoolcomms Dinners flex:
can be paid more than once

Only available to customers with Schoolcomms Dinners – please ensure you select this payment type to ensure your balances in Schoolcomms Dinners update based on payments made.

Fixed amount:

can be paid more than once

Repeatable fixed cost for a regular payment item. This item will remain on the payment item screen to ensure the item can be purchased again.
e.g. School tie costing £5

Fixed amount:

only needs to be paid once

Fixed cost for one-time payment. Once payment is received, the item is removed from the payment screen.
e.g. School trip costing £10

Facility to limit places

All fields can be changed apart from:

Fixed amount:

paid in defined instalments

A high value trip or event that allows payers to pay over a number of defined instalments. Once the final instalment is received, the item is removed from the payment screen.

 

Payers cannot alter the instalment amounts, but they can add multiple instalments to their baskets and check out in one transaction.

e.g. School trip to Spain costing £500 – 5 instalments of £100.

Facility to limit places

All fields can be changed apart from:
  • Payment type
  • Bank account
  • All instalment amounts – you are also unable to remove any instalments once a payment has been made
  • You can add more instalments, but these can’t be removed once saved if any payments have previously been made.

Flexible amount:

can be paid more than once

Parents can choose to pay any figure above the minimum amount you specify. This item will remain on the payment item screen to ensure the item can be purchased again.

e.g. School donation

Flexible amount:

only needs to be paid once

Variable cost for one-time payment. Parents can choose to pay any figure above the minimum amount you specify. Once payment has been made the item is removed from the payment screen.

e.g. School trip where parents can give an additional voluntary contribution.

  • Minimum amount

No charge:

use for consent / sign up only

Allows parents to give consent for their child where no payment is required.

e.g. consent to attend a local trip.

(Parental Responsibility must be applied to the parent to enable them to give consent)

Facility to limit places

All fields can be changed apart from:
  • Payment type
  • Bank account
  • Minimum amount (always £0) & consent requirement (always required)
  • Members can be removed after consent has been given.

Reducing balance:

allow partial payments

A high value trip or event that allows payers to make regular payments above the minimum amount you specify, and shows the balance still outstanding each time. Once the balance is paid, the item is removed from the payment screen.

e.g. School trip to Spain costing £500 – parents can make variable payments (above the minimum amount) towards the total cost.

Facility to limit places

All fields can be changed (including total & minimum amount) apart from:
  • Payment type
  • Bank account

Clubs flex:

can be paid more than once

Only available for customers with Clubs

Regular payment item for a club. The parent enters the amount to pay (above the minimum amount you specify). The item will re-appear on the payment page to ensure the payer can repeatedly pay.

e.g. Breakfast Club

Please ensure you select this payment type for the ‘Pay Now’ facility to be applied when parents book sessions.

  • Bank account
  • Link to club

Clubs fixed:

only needs to be paid once

Only available for customers with Clubs

Fixed cost for a one-time payment for a club. Once payment is received, the item is removed from the payment screen.

e.g. Enrichment Club with a fixed cost for the term

Please be aware that if selecting this payment type, the ‘Pay Now’ facility will not be applied when parents book sessions – you will need to select the Clubs Flex type (above) for this to take effect.
